1. Introduction

Former employees (except in the USA) are entitled to:

·         an annual cargo concession of 250kg chargeable weight (see glossary) per person per year for their own use to a station on BA's network (this excludes BA CitiExpress and oneworld partners or BA-franchise carriers)

·         a rebate of 90% of the applicable Air Cargo Tariff (TACT) rate

The cargo concession is not available to family members or staff travel companions.

The concession applies to the shipment of: personal property (used personal effects and/or recent purchases) of a former employee who:

 

·         must personally deliver their goods to the origin station and must personally collect the goods from the destination station.

·         must be named as both shipper (sender) and consignee (recipient) on the air waybill (see glossary).

·         may be asked to support statements on costs for recent purchases by submitting sales invoices to local customs authorities at destination.

Exceptions – the following goods cannot be accepted as cargo concessions:

·         Perishable products, medicines and foodstuffs, livestock, dangerous goods and high value (Secure) shipments cannot be accepted as cargo concessions.

  • Motor vehicles and specialised products requiring licensing or specific export criteria or any goods that local authorities define as banned or restricted cannot be accepted as cargo concessions.

In no circumstances may cargo concessions

·         exceed 250kgs chargeable weight in a concessional year (April to March)

·         be transferred to a third party

·         be carried forward from one concessional year to another

·         be amalgamated to achieve a chargeable weight in excess of 250kgs for any one employee as the sender and/or recipient of the goods

·         be used for resale or for the commercial benefit of a third party

·         be shipped on behalf of a third party

Failure to comply may result in the loss of travel concessions.

2 Charges at origin and destination

In addition to the rebated charge of 90% of the applicable Air Cargo Tariff (TACT) rate for qualifying staff concession shipments, you should expect to pay a variety of charges at both origin and destination. Collect charges are not permitted. Please contact the relevant BA World Cargo worldwide office for more information about payment options and local charges and conditions.

At many destinations, BAWC employs a handling agent to collect these charges on its behalf.

Clearing charge
BA World Cargo may clear goods through local Customs authorities on behalf of a consignee. These charges are in addition to any tax or duty levied by the local customs authorities.

Delivery charge*
BA World Cargo may be able to arrange for goods to be delivered, if required. A charge is made for this service.

3 Delivering goods for export

For local information, please contact the relevant BA World Cargo worldwide office for more information before sending goods, including payment options.

It must be the former employee who presents their goods to be shipped under their cargo concession at the originating station, as presentation of these goods by a third party will not be accepted for carriage.

At many destinations, BAWC employs a handling agent to accept goods for carriage on its behalf.

Before making any purchases, first confirm with the relevant BA World Cargo worldwide office for any local restrictions eg bulky or electrical goods that cannot be security screened (x-rayed) at the export cargo office; restricted or prohibited goods.

Before setting out to the export cargo office, you should:

·         complete the cargo concession form for retired employees and print out three copies to take with you to the export office

·         pack the goods securely, as packaging materials are not provided

·         label the goods clearly with your full name, address and contact details at the destination station. This will enable BA World Cargo or its agent to let you know when your goods have arrived

·         take your BA ID as proof of identity.

At the export cargo office at the origin station (including at Heathrow):

·         you must display your BA ID that shows your staff number as proof of identity

·         you must present three signed copies of the online cargo concession form

·         your goods will be weighed and security screened (X-rayed) and a security certificate issued

·         the chargeable weight (see glossary) will be entered on the cargo concession forms

·         an air waybill (see glossary) will be prepared showing you as both the sender (shipper) and as the consignee (recipient) of the goods. You will be asked for a full and accurate description of the goods to be shipped

·         the air waybill will be entered on the cargo concession forms

·         the export charges will be calculated

·         you must pay using options according to local regulations. Please refer to the relevant BA World Cargo worldwide office for more information

·         you will receive a printed copy of the air waybill, a receipt and a copy of the cargo concession form with the chargeable weight and air waybill number for their personal records.

The goods will be moved on the first flight with available space.

4 Collecting goods for import

For local information, please contact the relevant BA World Cargo worldwide office for more information about importing goods, including payment options.

At many destinations, BA World Cargo employs a handling agent to collect these charges on its behalf.

As consignee, you will be informed at the earliest opportunity when their goods have arrived.

However, before the goods can be collected, they must first be cleared by the local Customs authorities and any tax or duties paid.

At the import office at the destination station, you should

·         display your BA ID that shows your staff number as proof of identity.

·         pay all import charges using payment options according to the local regulations.

5 Exporting from the UK

The procedure for exporting cargo concessions at Heathrow is the same as for offices worldwide. However, there is a limit on the value of personal goods for export from the UK. The retail value must be less than £600.

The process at LHR for exporting goods weighing more than 32kg per piece applies takes extra time because of the lack of security screening (x-ray) facilities at the export cargo office.

Gatwick (LGW)

Cargo Terminal (follow the road signs). Opening times 24-hours (avoid busy times 0500-0700, 1200-1400 and 2100-2230).

Avoiding the busy times, it normally takes between 30 and 60 minutes to send goods as staff cargo concessions from Heathrow or Gatwick.

 

The following charges are levied for every shipment:

Export entry fee
There is no export entry fee for freight destined within the European Union.
An export fee of £20.00 is collected for freight destined outside the European Union.

6 Clearing goods in the UK

All goods imported into the UK must be cleared through HM Revenue & Customs before they can be released to the consignee (recipient).  

Goods must be cleared by an agent on your behalf, for which a charge will apply. At Heathrow, you must appoint BA World Cargo as your agent for cargo concessions.   

For recent purchases, you must supply receipts to be presented to HM Revenue & Customs before the goods can be cleared.

Once the goods have been cleared, they are ready for collection.

7 Collecting goods imported into the UK 

At the import cargo office in the UK, you must

·     Show your ID as proof of identity

·     take a note of the air waybill number (see glossary)

·     LGW – BA World Cargo at the cargo terminal (see map)


Before BA World Cargo can release any goods, a number of charges must be paid. Payment can be made by by credit or debit card only.

The following charges are levied for every import shipment:

Clearing charge – on request
BA World Cargo or its appointed agent may clear goods on behalf of a consignee. These charges are in addition to any tax or duty levied by the local customs authorities.

Import entry fee
BA World Cargo in the UK collects an entry charge for goods imported from countries outside the European Union.

Handling charge*
A standard charge for processing and handling freight at destination

Storage charge*
BAWC makes a charge for storing freight shipped as a cargo concession for every day after the first seven days

Delivery charge* - on request
BA World Cargo may be able to arrange for goods to be delivered, if required. A charge is made for this service.

8 Shipping cargo from the USA

The U.S. Transportation Security Administration (TSA) applies strict security rules to the transport of cargo.

Staff cargo concessions are not available to retirees.

 9 Hints and tips when sending cargo

From feedback received from members of staff, BA World Cargo has compiled a number of hints and tips when using staff cargo concessions.

BA World Cargo concessions apply to BA mainline flights only. This excludes BA CitiExpress, franchise partners and one-world carriers. To destinations beyond BA's network, you should expect to pay all charges in full.

Government regulations in the USA prohibit former employees from using their cargo concessions to import/export goods.

Not all goods that are available in one country can be imported into another. Please contact the relevant BA World Cargo worldwide office for more information.

Perishable products, medicines and foodstuffs, livestock, dangerous goods and high value (Secure) shipments cannot be accepted under cargo concessions.

Motor vehicles and specialised products requiring licensing or specific export criteria or any goods that local authorities define as banned or restricted cannot be accepted under cargo concessions.

As a former employee, you must:

complete and the cargo concession form and make three copies. Take your ID and three copies of the form with your goods (securely wrapped and clearly labelled) to the export cargo office at the originating station.

at the export cargo office, display your ID and present your goods yourself. Goods presented by a third party will not be accepted for carriage.

collect your goods at the destination station and show your BA ID that shows your staff number. Collection of these goods by a third party is not acceptable and the goods will not be released.

The following information is required on an air waybill (see glossary):

your name, address and contact telephone or mobile number at the destination station, so that you can be contacted once the shipment has arrived

a full and accurate description of the goods to be sent, as this will expedite customs clearance at destination.

If an agent other than BA World Cargo is appointed to clear their goods, you must pay all the agent’s charges in full.

 It is your responsibility to keep a record of your shipments to ensure that you do not exceed the 250kgs chargeable weight (see glossary) in a concessional year (April to March).

The following restrictions apply to the movement of goods under cargo concessions. The concession must not:

·         be transferred to a third party

·         be carried forward from one year to another.

·         be amalgamated to achieve an amount in excess of 250kgs for any one employee as the sender and/or recipient of the goods.

·         be used for resale or for the commercial benefit of a third party

·         be shipped on behalf of a third party

Failure to comply with these restrictions may result in the loss of your travel concessions.
